WEEKEND RENTAL AGREEMENT

Special Occasion Property Rental Agreement for weekend rentals provided by Melady House, LLC.


The Melady House has a magnificent presence with century old majestic oaks that provide a beautiful setting for outdoor weddings and other special events.  This family residence is the home of Mr. & Mrs. Lamar Ritchie and family.   Melady House, LLC contracts with Melady House owner(s) and will be held responsible for grounds and parts of the dwelling leased to responsible individuals who might enjoy this historical setting.  The following guidelines are to clarify the family’s expectations and assurances to those who may wish to share this lovely home and grounds.

 

Only Members/Managers of Melady House, LLC or their designee present during events may provide information to lessees.

 

PAYMENT/DEPOSIT

Wedding/Reception on Friday or Saturday is $2200.00.  We will allow you to come in the prior day of your event between 12noon and 8pm to begin decorating and to have rehearsal if applicable.  Event day begins at 10a – midnight.  A charge of $50.00 an hour will be assessed for each hour past scheduled times. 

 

A damage deposit of $400.00 is due to Melady House, LLC at the time of booking. If the event is cancelled the total deposit is forfeited.  Half of rental fee is due 6 months (180 days) in advance.  Remainder of balance is due no later than 90 days prior to the scheduled event.   (Please remember the damage deposit is not included in the price of the rental).   (If the event is cancelled within 90 days of event, half of rental fee will be forfeited and damage deposit).

Included with rental are 100 chairs, 12 round tables with linens and 10 rectangular tables. Additional chairs and chair covers are available at an additional cost.

After the event, Melady House, LLC will inspect the premises to ensure that property and items belonging to Melady House are in satisfactory condition prior to refunding any deposits.  The deposit will be returned within 10 days if the property has been left in satisfactory condition. 

 

Any item(s) missing or damaged will be deducted from the damage deposit.    Lessee will be billed for damages in excess of the deposit.  Lessee assumes responsibility for all damage caused by negligence of lessee, his family or guests.

 

SECURITY

For weekend rentals a security guard will be required for crowds over 100 persons at Lessees expense. Two security guards are recommended for crowds over 150.  Security guards are responsible for help with parking and protection of grounds. Proof of security is required prior to event if applicable. If you would like Melady House to set up security for you, please make arrangements at time of payment.

 

SMOKING RULES

No smoking is permitted inside of Melady House.  Please use designated smoking receptacles provided for your convenience.   

 

FURNITURE

No furniture may be taken out of its designated room without prior written approval.  All requests must be made prior to the event.  (You may print out a copy of Melady House diagram from our website www.meladyhouse.com to plan the layout of your event).

 

No slippery or sticky items (i.e. food, birdseed, bubbles) may be utilized inside Melady House.  Also, no moisture bearing containers are allowed on surfaces unless properly protected.

 

Any candles or contents that would be considered damaging to linens must have a protective barrier underneath. 

 

PETS

No pets of any kind are allowed at Melady House. 

 

COOKING/FOOD PREPARATION

No cooking is allowed in Melady House.  All food must be brought already prepared and cooked.  You may use the microwave to heat food.  (Only catering staff and those preparing food will be allowed to be in kitchen area). 

 

SUB-LEASING & COMMERCIAL USE

Sub-leasing and commercial use of Melady House is strictly prohibited without written permission from Melady House, LLC.

 

UPPER FLOOR USAGE

Lessee, their family or guests are not permitted on the stairs, the second level floor or the balcony of Melady House without permission from Melady House, LLC.    Failure to follow this rule may result in loss of your rental deposit.

 

CONDUCT

Any individual that is considered acting inappropriately, such as performing unsafe acts or disruptive behavior or using illegal substances, must be asked to leave the premises by the lessee or by Melady House, LLC representative. 

 

Children must be supervised by an adult while attending events at Melady House. 

 

CLEAN UP

Melady House will provide up to 6 garbage cans with liners for each event.  All trash must be placed in the dumpster provided after each event.  Failure to do this will result in loss of deposit.

 

All food, decorations, and rental equipment must be removed from Melady House the day  of the event or before leaving the premises at checkout.

 

All tables must be cleared of contents at cleanup time. Tablecloths and chairs must be stacked on top of each table. 

 

Please note that any items belonging to Melady House that are moved during the event must be returned prior to checkout.  (This is to ensure that Melady House can locate all property during inspection prior to return of the deposit). Any items found missing or used without owner’s permission will result in full loss of deposit – this includes anyone preparing food for the event- such as hired caterers, family and friends of lessee or anyone else at the event.

 

DEFECTS

Melady House, LLC requires that lessees, prior to an event, prepare a written list of any defects found existing at the leased premises; and provide Melady House, LLC a signed copy of same prior to rental.  Lessee will not be held responsible for pre-existing conditions.


OTHER

This agreement is between the responsible party signing this contract and Melady House, LLC.  The performance of this agreement may be terminated due to circumstances making it illegal, impractical or reasonably impossible for Melady House, LLC to provide the services as stated in the contract.  These circumstances include events caused by acts of God, war, governmental regulations, disaster, civil disaster, or interruption of utility service for sewer, water or power to the Melady House.  This agreement may be terminated for any one of the above reasons by written notice from Melady House, LLC after learning the basis for termination.  Melady House, LLC will be responsible for actual unrecoverable expenses incurred by the lessee for the event. 

 

Lessee hereby assumes responsibility for condition of the premises and further agrees to "hold harmless" Melady House, LLC against any claim or injury caused by any defect therein to the lessee or to anyone in, or on, or about the leased premises who derives his right to be thereon from the lessee, unless Melady House, LLC knew or should have known of the defect, or had written notice thereof and failed to remedy said defect within a reasonable period of time.

Guests will be responsible for their own contents while renting the premises.

 

Any concerns about the Melady House facility or grounds must be expressed to the owner or his specific designee by the lessee or their specific designee.
